Records Requests
There are several ways you can request copies of records from ECSS.
OPEN RECORDS
Many public documents and records can be found on the ECSS website, including financial documents, School Board agendas and meeting minutes. School Board policies are also available here on the website. Anyone who wishes to submit a request for public records under the Georgia Open Records Act should submit an Open Records Request Form. Please be advised that there may be costs associated with your request for administrative time, copying and legally required redaction, in accordance with the Act.

STUDENT RECORDS
EDUCATIONAL RECORDS:
Student educational records, such as report cards and disciplinary records, are largely protected by the Family Education Rights and Privacy Act (FERPA) and in most cases can only be provided to parents and eligible students.
All requests for student educational records should be submitted to Central Registration at yturner@early.k12.ga.us.
SPECIAL EDUCATION STUDENT RECORDS:
Parents of current or former minor ECSS students and ECSS current or former students who are 18 or older may request special education records from the Department of Special Education.
School Districts requesting records should submit the ECSS Special Education Records Release Form.
Parents or former students requesting records to be released directly to them should submit the Notice/Authorization to Release Information Form.
All requests for Special Education records must be made in writing and emailed to Marva Smith-Mincey at msmith-mincey@early.k12.ga.us AND Jessica Hancock at jhancock@early.k12.ga.us. Requests can also be made in person at Early County Elementary School.
SPECIAL EDUCATION STUDENT RECORDS PURGE NOTICE:
The Early County Program for Exceptional Children (ECPEC) will hold special education records for individuals previously served through the program until the individual's 22nd birthday. Parents, legal guardians or individuals previously served in the program may contact the ECPEC at least 45 days prior to the individuals 22nd birthday to request records. Those requesting records will have to provide identification and sign a release form prior to records being released. Any records not requested will be destroyed upon the individuals 22nd birthday.

STUDENT TRANSCRIPTS:
All current high school students should submit transcript requests in person at the ECHS Counseling Office or by emailing lwarfield@early.k12.ga.us.
Post graduation, requests for a high school transcript, proof of graduation, and/or a high school diploma should be submitted through the front office at Early County High School.
All requests for transcripts and/or proof of graduation should submit the Transcript Request Form.
All requests for diplomas should submit the Diploma Request Form.
All requests should be submitted in writing to kalexander@early.k12.ga.us or dropped off in person at Early County High School.
EMPLOYEE RECORDS
Employees may request copies of their own records from the Human Resources division. Anyone other than the employee who is seeking copies of an ECSS employee record should submit an Open Records Request Form. State law protects some parts of employee records from public/release to third parties.
